It works until the day a teammate leaves, a login code goes to the wrong phone, or two people post at once from different places. Here is a structure that avoids those problems.

Why shared passwords cause trouble

No control: once a password is in a chat, you cannot take it back without changing it everywhere.

No history: when something goes wrong, nobody can tell who did what.

Unusual logins: the same account opened from many devices and locations in one day looks odd to the platform and often triggers extra checks.

Share the device, not the login

A better model is to keep each account logged in on one device and give people access to that device. With cloud phones, the account stays signed in on its own phone in the cloud. A teammate opens the phone from their own computer and works in the same session. Nobody needs the password, and the account keeps seeing the same device and network.

Set roles before you invite people

Decide what each role needs before you hand out access. A typical split:

Owner: billing, creating and deleting profiles, managing members.

Manager: assigns profiles to people, reviews work, edits automations.

Operator: opens only the profiles assigned to them and does the daily work.

Give access per profile or per group of profiles. A freelancer working on one client should see only that client’s phones.

Keep a log

An activity log answers “who changed this?” in seconds. Review it when an account behaves unexpectedly, and when you offboard someone.

Plan the handover

People go on holiday and leave teams. When access is tied to profiles instead of passwords, handover is a matter of reassigning profiles to someone else. Nothing needs to be reset, and the accounts never notice.

A short checklist

Turn on two-factor authentication for every account, with codes going to a phone the team controls.

Keep each account logged in on one cloud phone.

Invite teammates with a role and only the profiles they need.

Review the activity log regularly.

Remove access the day someone leaves.

See how team collaboration works in the app.

Shared passwords and screenshots of login codes do not scale.
